College Updates

Pima Mandates COVID-19 Vaccination by Jan. 4
Pima now requires all employees to be fully vaccinated against COVID-19 by Jan. 4 so that the College is in compliance with President Biden’s Executive Order 14042, and subsequent guidance requiring federal contractors to have all employees fully vaccinated against COVID-19.

This mandate applies to all College employees, including full-time, part-time, student workers, adjunct faculty and any Pima employee who is working remotely, unless they are granted a medical/disability exemption or an exemption for a sincerely held religious belief. Absent an approved medical or religious exemption, any Pima employee who has not provided proof of vaccination by Jan. 4 will be subject to separation from employment.

If you already have been fully vaccinated and have uploaded your vaccination card to the Employee Service Center (ESC), you do not need to do anything more.

If you have questions or concerns, please talk to your supervisor or contact the Employee Service Center. Answers to frequently asked questions can be found at MyPima @Work.

College Switching to Cisco EDR for Anti-virus/Anti-malware
Pima’s migration to Cisco EDR for anti-virus/anti-malware protection is underway and runs through Dec. 23, as the College transitions from Symantec Endpoint Protection (SEP).

The Information Technology Department is deploying Cisco EDR to all College PC and Mac systems. During this time, systems will have both SEP and Cisco EDR products installed.

Users do not need to take any actions. IT will remove SEP later. If you encounter any issues with SEP or Cisco, please submit a service ticket online.

Free Flu Shots Offered Dec. 3
Sign up online for one of the last two Employee Wellness-sponsored free, appointment-only flu shot clinics:

Dec. 3:

  • Northwest Campus: 8 to 11 a.m.
  • District Office: Noon to 3 p.m.

Free Retirement Planning Meetings with Fidelity Dec. 6
College employees can schedule one-on-one telephone or video appointments with Fidelity’s Certified Financial Retirement Planner Nick Maly between 9 a.m. and 4 p.m., Dec. 6. To schedule a confidential consultation, go online or call 800-642-7131.

Final Pet a Pup Event, Dec. 6 a Northwest Campus Library
This year’s final Pet a Pup opportunity at the Northwest Campus Library with Ruby (a mini Goldendoodle) and her handler Jeannine is 3 p.m. Dec. 6.

Make Book Hedgehogs, Wooden Gift Tags Dec. 7 at Makerspace
The East Campus Library hosts a holiday event 10 a.m. to noon, Dec. 7 at the East Campus Makerspace.

The Library invites employees and students to create upcycled book hedgehogs and wooden gift tags. You can customize the tags with names, simple images or greetings. The Library will supply the books, instructions and help as needed for the hedgehog. If you can’t make it to the event, email ec-library@pima.edu to make arrangements to pick up book hedgehog-making supplies at the front desk.

It’s Time to Complete 2021 Employee Satisfaction Survey
On Dec. 7, all Pima employees will receive an email with the subject line 2021 Employee Satisfaction Survey. This email will give information on completing this survey administered anonymously by a third party.

The survey will help the College get a better understanding of its employee morale, job satisfaction and engagement. Your feedback is important, and this survey is your chance to anonymously tell the College what you think. The College will share the results at pima.edu/about-pima/reports-data/cess-survey, where you also can find results of past surveys. College Police Holiday Toy Drive through Dec. 13
The Pima Police Department’s annual Holiday Toy Drive is underway, this year to benefit El Rio Preschool and Children Services. Please drop off new, unwrapped toys suitable for newborns to age 17 at any Pima police office until Dec. 13.

December Library Newsletter Available Online
The December issue of the College’s Library Newsletter, with all of the latest event, materials, services, holiday information, culture passes and more is available online.

Pima Shared Governance through AERC
The All-Employee Representative Council (AERC) is a council of Pima employee peers that reviews and helps updates policies, and finds solutions to matters affecting work conditions.

To learn more, visit the AERC Intranet Page.

General meetings are open to all employees. You also may submit questions or concerns to any AERC member or via the online comment box.

New Process in Effect to Purchase Certain Items
To ensure compliance and safety, streamline reporting requirements and maintain quality standards, the following purchases now must be approved by Facilities staff:

  • Chemicals and Hazardous Materials
  • Furniture and Appliances
  • Vehicles, Golf Carts and Wheeled Equipment, including trailers

BEFORE submitting a requisition in Banner, to request an approval, please submit a FAMIS Work Order that includes the following information (instructions also on the Intranet):

  • What is to be purchased
  • Where the purchase will be placed or installed (include campus/building/floor/room number)
  • Type: Customer Service
    • Sub Type: Purchase Approval
  • For Chemicals and Hazardous Materials requests, please use:
    • Type: Health & Safety
    • Sub Type: Chemical Approval
  • Attach a copy of the vendor quote, including any specifications, and the Safety Data Sheet (SDS)

Email updates will be sent as the request progresses through the approval process.

When an approval is given, please submit the work order document with the vendor quote to the Procurement Office.

If the request is denied, the work order document will include the reason for the denial.

The Procurement Office will not submit requests in FAMIS.

W-2 Forms to Be Mailed by Jan. 31
The College will mail IRS W-2 forms for 2021 to employees on or before Jan. 31. Meanwhile, in MyPima, verify that the address on your paycheck/advice is correct. If not, please correct it.

Review Your Federal and State Tax Withholdings
The College encourages employees to review their federal and state tax withholdings. If your filing status, exemption allowances or exempt status has changed since the last filing, you may need to complete a new FormW-4 (Employee’s Withholding Allowance Certificate) and Form A-4.W-4 and A-4 forms are on the Intranet -> Employee (under Banner Online) -> Benefits and Deductions -> Miscellaneous. You may complete and submit a new W-4 or A-4 to the Employee Service Center, Mail Code DO 1235, any time during the year to update your tax filing status and withholding allowances. Pima Employment Opportunities for Internal Candidates
